Now Hiring: Administration Officer

The Administration Officer is responsible for maintaining day to day financial, accounting, administrative and personnel services in order to meet requirements and support service operations.

SCOPE :

The Administration Officer will report to the Managing Director and she/ he is responsible for assisting with preparation of financial statements, maintaining cash controls , prepare the payroll, prepare the fund request together with the MD and personnel administration (Time sheet , Leaves records) purchasing, maintaining accounts payable and managing office operations.

RESPONSIBILITIES:

1. Administer and monitor the financial system in order to ensure that the finances are maintained in an accurate and timely manner

Main Activities

  •  Assist with preparation of the budget
  • Recording bank and petty cash expenses on a weekly basis
  • Reconciling bank statements on a monthly basis
  • Preparing balance sheets on a monthly basis
  • Preparing statements of profit and loss on a monthly basis
  •  Implement financial policies and procedures
  •  Reconcile the general ledger
  •  Prepare and reconcile general bank statements
  •  Establish and maintain supplier accounts
  •  Ensure data is entered into the system
  •  Ensure transactions are properly recorded and entered into the computerized
  •  Assist with the annual audit
  •  Maintain financial files and records
  1. Oversee the accounts payable and accounts receivable systems in order to ensure complete and accurate records of all money
    Main Activities
  •  Ensure the safeguarding of all municipal funds
  •  Issue, code and authorize purchase orders
  •  Reconcile the accounts payable
  •  Reconcile the accounts receivable
  •  Reconcile weekly deposits
  • Receive and process the approved requests from the staffs
  •  Verify the employees weekly expenses
  1. To act as the liaison between SHE managers and employees, ensuring smooth communication and prompt resolution of all queries. You will also support our daily HR activities and assist in coordinating HR policies, processes and relevant documents.

Main Activities

  • Preparing RSSB tax on a monthly basis and preparing TAX PAYE tax declarations on a quarterly basis
  • Facilitating resolutions to any payroll errors
  • Answering payroll questions
  • Administer employment agreements
  •  Maintain the leave management system
  •  Review payroll reports
  • Recording in database and verify the employees Time sheet
  1. Supervise administrative services within the municipal office
    Main Activities
  •  Manage the filing, storage and security of documents
  •  Respond to inquiries
  • Manage the repair and maintenance of computer and office equipment

 

REQUIRED QUALIFICATIONS

  • Bachelor of Business Administration (BBA) in finance or accounting, professional accounting certificate will be an asset.
  • At least 2 years’ experience in accounting or related field
